CALIFUR 5 CONBOOK SUBMISSIONS - FULL GUIDELINES



The Califur Publications Department is now accepting submissions for the 2009 convention book (ConBook). Please read the following information carefully before submitting.

General Information

Califur seeks submissions of artwork, fiction, photography, and articles, and advertisements for publication in its 2009 ConBook. All works submitted must be original work created by the submitter. The submitter must provide a release either electronic or in writing, including the artist's or author's full name, a valid address, e mail address (if available) and a contact phone number. Contact information must accompany all work submitted. Pieces may be titled. While we welcome any submissions of most any nature, please be aware that priority may be given to those works that complement the theme of the convention, "On Safari". Pieces should be in the 'G' to 'PG-13' rating.

The editors reserve the right to reject submissions for any reason.

Submissions must be received no later than April 26th, 2009, or they cannot be used at all.

Remember to include the contributor name, contact information, and return address if you would like originals returned. Califur cannot be held responsible for material damaged in transit.

Art and Photography Submission Guidelines

This year's convention book will be laid out in spreads of 11" x 17" (8.5" x 11" pages).

Electronic submissions are preferred. Please DO NOT submit your artwork via e-mail. Read the instructions below for information on how to electronically submit your artwork. If you will be physically mailing your artwork, please follow our mailing directions carefully. Pieces may larger than 8.5"x11" (1 page) must be arranged prior to their submission. Art may be resized or cropped for clarity or space concerns.

Color versus Black and White Works

The majority of pages for the Con Book will be in grayscale/black and white. We have a limited amount of space in the publication for color pieces. If you wish to submit a color piece, please contact us for arrangements PRIOR TO SUBMITTING your art piece or we cannot guarantee your color art piece to have room in this year's publication. Please DO NOT submit your artwork via e-mail.

Crediting for Submitted Works

The artist's name will always be included with the art unless specifically requested that an alternate name or no name be printed.

Electronic Submissions Technical Guidelines

Minimum Resolution of 600ppi (pixels per inch).
(Less than this will either be reduced in dimensions to match our 600dpi printing standard or may be rejected)
No drawn bounding boxes unless prior arrangements made. (By default, we will provide those if needed for presentation purposes.)

When submitting B&W art designed for full 8.5’’ x 11’’ size, be aware that a margin of at least .5’’ is best to avoid clipping of art beneath the binding on the page.

Accepted File Types (In order of preference):

Visual Works

TIFF - Single-Layered, Non-Compressed, Interleaved, IBM PC, Grayscale or CMYK Color w/ sWOP v2 Embedded Color Profile.
EPS - 8 bits per pixel, ASCII85, Halftone Screens, PS Color Management, Vector Data if applicable, No Image Interpolation.
PSD (Photoshop),
PNG - 24-bit is preferred over 8-bit, obviously. Non-Interlaced, No Diffusion.
JPG - Maximum-quality (least amount of compression), "Optimized".
GIF - Must be, full 256 indexed color mapping, non-interlaced. NO diffusion. (It is likely the gif will be halftoned)
NO PDFs for individual visual pieces.

All Vector pieces must be submitted in EPS format. No AI (Illustrator files), please.

Articles involving both written and visual (mixed-media) where layout and presentation is important may submit them in PDF format BY PRIOR ARRANGEMENT ONLY. PDFs must be set to "High-Quality Print" mode. Art included in PDFs must follow the same quality standard guidelines as listed above (downsampled to no less than 600dpi.)

Text Submission Guidelines

Written work may be edited for space constraints or to conform to standard written English at the discretion of the editor in charge of the publication. The author's name will always appear with the work being published. If you do not wish your name to appear with your work, or wish to go by a pseudonym instead, please indicate this in writing with your submission.

Text submissions should be no more than 2000 words. Stories or articles that are over length without prior authorization may be rejected without consideration. While we will accept some special formatting (bold, italics, underlines, some foreign characters, line centering), stories that do not rely on special formatting will be given priority.

Written Fictional or Non-Fictional Works

Plain Text - Must not include special character sets or bold, italic, etc. characters. (In other words, use the ASCII character set)

Electronic entries of stories are mandatory unless prior arrangement has been made. For printed material with prior arrangement, submissions should be typed or printed in a standard 12 point font (for example, Times New Roman), and be double-spaced with one-inch margins. For all submissions, author's real name, optional pseudonym, title of work and number of words should be all clearly visible on the first page of the submitted work.

All information fields must be filled out thoroughly or will not be accepted. By using our web-based submissions form, you are granting Califur the rights to use your work under the conditions specified under the section of this page titled: "SUBMITTED WORKS LICENSING AGREEMENT".

Please DO NOT submit your artwork via e-mail. (Did we mention not to submit your artwork via email?)

Option #2

Electronic submissions of works may be also sent on CD/diskette via U.S. Mail. Please follow our U.S. Mail Instructions below.

HARDCOPY SUBMISSION INSTRUCTIONS



Hardcopy submissions must be camera/scanner ready, 8.5"x11" size or smaller (unless given prior arrangement with our staff.) Shaded and line-art artwork are acceptable. Halftone artwork is unacceptable as we will be unable to reproduce it at the quality that will do justice to your work. Shaded, hatched and line-art will look much better in the final process. Artwork should be reproduced or printed on heavy white paper if physically mailed. Please note that bond or watermarks may appear in the reproduction process, so try and avoid these when possible. Heavier paper will result in better replication of your work.

Hardcopy pieces that have been reproduced at low-resolution (printed at less than 600dpi) may be rejected. Be sure that you only have artwork and printing or writing on one side of the paper to help prevent bleed-through in the scanning process. Please do not send originals of pencil works; they tend to bleed during mailing and storage, and do not always come out crisp after scanning and leveling.

Califur and its staff are not responsible for damage that may occur to pieces while in transit.

If you wish your art piece to be returned, please submit a self-addressed envelope with your submission. For work submitted by U.S. Mail, a receipt acknowledgement will be returned only if a SASE is provided with the submission, or if an e-mail request is made to verify receipt. We cannot accept works submitted via fax, courier signed receipt mail, Federal Express, UPS or related services without prior arrangement.

: Can I submit work created by someone else?

A: No.

Q: Can I submit work that has someone else's character in it?

A: If your work contains copyrighted characters that are not yours, then you must obtain written permission to use those characters or likeness from the copyright holder. Califur is unable to use any such works without a copy of the written permission. The original artists contact information will also be required.

Q: Was my submission selected for publication the ConBook?

A: Due to deadlines, we are unable to inform contributors if their work has been selected for publication prior to the convention.
